1. Introduction

These Terms and Conditions (“Terms”) govern the rental of tents and associated equipment provided by Earthrise Camping, a trading name owned by Robert Porter, a sole trader operating at Unit 157450, PO Box 7169, Poole, BH16 6FH, in the United Kingdom. By placing a booking with us, you confirm that you have read, understood, and agreed to be bound by these Terms and Conditions. If you do not agree with any part of these Terms and Conditions, you should not proceed with your booking.

2. Definitions

“We”, “Us”, “Our” refers to Earthrise Camping.
“You”, “Your” refers to the customer placing a booking.
“Equipment” means the tents and any other rented items provided by Earthrise Camping

3. Booking and Payments

• All bookings are subject to availability and confirmation.
Payment in full is required at the time of booking. This includes:
• The total hire cost of the equipment plus shipping and any additional equipment.
• A small refundable security deposit, as priced at time of booking, held as security against damage, loss, or failure to meet return conditions as detailed in Section 4.
• Bookings will not be confirmed unless payment is received in full. You will receive a booking confirmation email once payment is processed, which includes your rental details and collection/delivery information.
• Due to our returns policy, rentals cannot end on a Friday or Saturday. Rental periods may end on any other day, such as a Thursday or the following Sunday. This policy is in place to prevent misuse of our rental terms.

4. Security Deposit

• Your Security Deposit will be refunded in full within 10 working days, to the original payment account, provided all of the following conditions are met:

• All equipment is returned complete and in a reusable condition.
• Reasonable efforts made to dry and clean equipment before return.
• There is no damage beyond reasonable wear and tear.
• Acceptable wear includes minor scuff marks, light dirt removable with standard cleaning, small fabric pulls that do not affect functionality, and small tears under 1 inch
• Equipment may show exterior cosmetic marks from previous rentals, these marks do not affect equipment functionality or performance.
• Equipment is shipped within 1 working day of the rental period ending. (Working days are Monday-Friday, excluding bank holidays)
• All returned items will be inspected and cleaned according to our standard cleaning procedure (available on our website).

• We reserve the right to make deductions from the security deposit for the following reasons:

Excessive Dirt or Unhygienic Condition
• This includes, but is not limited to, internal stains that cannot be removed through standard cleaning, and equipment returned heavily soiled in a condition that poses an environmental or health risk (e.g. bodily fluids). Failure to abide by this will result in full forfeiture of the deposit.

Missing or Damaged Items
• Any equipment returned with missing or damaged components, beyond acceptable wear and tear as defined above, will incur deductions—up to the full value of the deposit—based on the cost of repair or replacement.

Late Return
• Failure to post equipment within 1 working day of the rental period ending may result in full forfeiture of the deposit.

Incomplete Return
• Failure to return all hired items may result in partial or full forfeiture of the deposit.

• If we identify issues during inspection that may result in deductions, we will notify you with photographic evidence and a breakdown of proposed charges. You will have 5 working days to respond before deductions are processed. In urgent cases where immediate deductions are necessary, you may dispute within 5 working days of notification.

5. Cancellations and Refunds

• Cancellations made 30 days or more before the rental start date will receive a full refund, including the waiver fee.
• Cancellations made within 30 days of the rental start date will be refunded excluding the Security Deposit fee.
• Bookings cancelled within 10 days of the rental start date are non-refundable.
• In the event that we need to cancel your booking due to safety concerns or other circumstances beyond our control, we will offer either a full refund or an alternative booking date, subject to availability.

6. Use of Equipment

• You agree to use the equipment safely and responsibly at all times.
• The Equipment must be set up according to the instructions provided.
• Equipment must not be altered, modified, or tampered with in any way.
• Smoking, cooking, or the use of open flames near or inside the equipment is strictly prohibited.
• You are responsible for any loss, damage, beyond acceptable wear and tear as defined in Section 4.
• You accept full liability for any damage, injury, or loss caused by misuse of the equipment, including but not limited to damage caused by fire, improper setup, or failure to follow safety instructions.
• You agree to indemnify Earthrise Camping against any third-party claims arising from your use of the equipment.

7. Delivery and Return

• We will deliver the equipment to your home or place of work at the agreed address.
• It is your responsibility to ensure someone is available to accept the delivery, which will be made within 24 hours of the start of your rental period. Please ensure someone is available to receive your delivery. Earthrise Camping cannot be held responsible for missed deliveries due to unattended addresses.
• You are responsible for receiving, setting up the equipment, and packing securely for return.
• You are required to securely pack and ship the equipment back to us within 1 working day of the rental period ending, using the returns label provided.
• Failure to ship the equipment within this timeframe may result in the loss of your refundable security deposit.

8. Liability and Insurance

• We carry public liability insurance; however, this does not cover your personal property or injuries caused by misuse.
• You are encouraged to obtain your own event or travel insurance for additional protection.
• Earthrise Camping bears no responsibility for any indirect, incidental, or consequential damages. (e.g., cancelled trips, accommodation costs, or losses arising from equipment failure)
• Any issues with the equipment, including but not limited to theft, damage, or loss, must be reported to us as soon as reasonably possible and no later than 24 hours from discovery.
• Any theft or illegal dumping of equipment will be reported to the police, and all relevant details will be provided to the appropriate authorities.
• Earthrise Camping accepts no responsibility for any fines, penalties, or legal charges incurred during the rental period, including but not limited to those resulting from dumping or misuse of equipment. You, the customer, are solely responsible for any such charges incurred during the rental period.
• You are responsible for any damage caused to third-party property (including campsites, vehicles, or other equipment) arising from your use of our equipment.

9. Force Majeure

We will not be held liable for delays or failure to perform due to events beyond our reasonable control, including but not limited to severe weather, natural disasters, acts of God, or government restrictions.

10. Tent Donations

• Donors must contact us via email at Donate@Earthrisecamping.co.uk with their postcode, tent brand, size as a minimum.
• We will provide a prepaid shipping label and arrange either doorstep collection or provide your nearest drop-off location, depending on courier availability in your area
• All donated tents are subject to our assessment for suitability for rental use.
• We reserve the right to refuse or reject any donated tent at our sole discretion.
• Suitable tents will be cleaned, inspected, and refurbished according to our standard cleaning procedures before being added to our rental inventory.
• Tents that do not meet our quality standards for rental use will be sent to an approved recycling facility to ensure responsible disposal through proper recycling channels.
• By donating a tent, you transfer full ownership and all rights to Earthrise Camping.
• Donated tents cannot be returned to the donor once collected.
• Earthrise Camping may use, rent, refurbish, recycle, or dispose of donated tents as deemed appropriate.
• Donors must ensure they have the legal right to donate the tent(s).
• Tents should be reasonably clean and free from excessive damage.
• Donors are responsible for ensuring someone is available to hand over the tent at the agreed collection point.
• Donors must pack donated tents appropriately for collection and transport.
• Tent donations are made voluntarily without expectation of payment or compensation.
• No tax receipts or donation certificates will be provided.
• Earthrise Camping provides this service free of charge as part of our circular economy mission.

10. Privacy and Data Protection

We collect and process your personal data in accordance with our Privacy Policy, which explains your rights under the UK GDPR and how your information is handled. Please review our Privacy Policy on our website for full details.

11. Governing Law

These Terms are governed by the laws of England and Wales. Any disputes shall be subject to the exclusive jurisdiction of the courts of England and Wales.
